The meeting-to-doc gap

Every meeting is a documented workflow. Most just get lost.

Without Meeting Mode

The video sits in a folder

  • •Someone demos a workflow in a Zoom call. Recording auto-saves.
  • •It goes into a shared drive titled “Zoom_Recording_2026_07_08.mp4”.
  • •Nobody watches the full 47 minutes to find the 4-minute part they need.
  • •The next new hire asks the same question in Slack — someone re-explains from scratch.
Meeting Mode

With Meeting Mode

The video becomes a guide

  • ✓Upload the recording. Get back a structured, searchable guide in ~15 minutes.
  • ✓Screenshots at every meaningful moment; step descriptions in plain language.
  • ✓Meeting Highlights + Participants blocks capture the surrounding context.
  • ✓Embed in Notion. Export to PDF. Search inside every step. Update when the tool changes.

Two ways to use it

Record it live, or upload it after

Both paths produce the same output. Pick the one that matches your situation.

Live

Record during a meeting

Use the InstaGuide Chrome extension. Voice narration on by default; every click captured. The guide is ready seconds after you click Stop.

  • 1.Extension icon → Start Recording → pick Meeting Mode
  • 2.Enter what you're demoing (“New customer setup”)
  • 3.Run your demo — your voice becomes step descriptions
  • 4.Click Stop — guide lands in your dashboard

Best for: sales demos you want to send as follow-up, training sessions you're actively hosting.

Import

Upload a saved recording

The meeting already happened. Drag the video file into the dashboard and let InstaGuide reverse-engineer the workflow.

  • 1.Dashboard → Imports → Import recording
  • 2.Attach the video (up to 1 GB) + optional transcript (.vtt/.srt)
  • 3.Optional: opt into segment review to curate before building
  • 4.Come back in ~15 minutes — guide is ready

Best for: retroactive documentation, splitting a long onboarding call into multiple focused guides.

In practice

Meetings aren't just demos

A real meeting is a mix — discovery, discussion, training, status updates, sometimes a demo tucked in the middle. Meeting Mode handles the whole spectrum. Six patterns teams actually use:

Discovery callImport → Review

Customer walked you through their workflow

A prospect spent 30 minutes showing you their current process — the tools, the workarounds, the pain points. Upload the recording, opt into segment review, and turn the walkthrough segment into an internal “how our customer does X today” guide the product team can reference in planning.

Vendor trainingImport → Review → Split

Product training session → 4 focused guides

You attended (or delivered) a training call that covered several workflows in your tool of choice — account setup, integration config, invite flow, reporting. Upload with segment review, split each topic into its own guide so team members can jump to just what they need.

Mixed meetingImport → Review → Pick one

10-min demo inside a 50-min discussion

Someone spent the first 10 minutes demoing a workflow they built; the rest was open Q&A. Segment review surfaces the topic list — check just the demo segment, ignore the rest, and produce a single clean guide from the 10-minute portion. No manual clipping, no re-recording.

Team statusImport → Review → Split

Cross-team status meeting → per-topic guides

A weekly cross-functional sync where three team leads each showed something they shipped. Instead of everyone remembering what was demoed, upload the recording and split into per-owner guides — attached to the meeting notes for teammates who couldn't attend.

SME explanationImport → Review → Combine

Subject-matter expert explained a process

A 45-minute conversation with an internal expert about how a specific process works — with 10 minutes of context-setting and a tangent about an adjacent tool. Segment review lets you drop the tangents and combine the actual explanation into one tidy reference guide.

Live demoLive path

You're presenting live — capture as you go

You're actively walking a customer or teammate through a workflow. The InstaGuide Chrome extension records your clicks and voice narration in real time. The finished guide lands in your dashboard seconds after you click Stop — ready to share as the follow-up.

Why this is unique

No other doc-automation tool ingests meetings

Every category competitor waits for you to click through your workflow again. InstaGuide accepts your existing recording as input.

Privacy by design

Your recordings are ephemeral

The guide is the deliverable; the video is input. We don't keep the source recording after processing.

During processing only

Videos land in secure cloud storage while Insta extracts steps, screenshots, and highlights — usually 10–20 minutes for a one-hour recording.

Auto-deleted after

Once the guide is generated and saved to your dashboard, the source video is deleted from cloud storage automatically.

Safety-net cleanup

Anything a failed run left behind is purged within a few days. Recordings never become permanent InstaGuide storage.

FAQ

Questions teams ask about Meeting Mode

Live: you record the meeting through the InstaGuide Chrome extension while you're presenting. Voice narration is on by default and every click is captured in real time. The guide is ready seconds after you click Stop. Import: the meeting already happened and you have a saved video. Upload the file (up to 1 GB) and InstaGuide analyzes the recording — extracting screenshots at meaningful moments, transcribing narration, and assembling a full guide. Same output either way. Pick the one that matches your situation.
Any tool that gives you an MP4, MOV, WebM, or MKV file. That covers Zoom cloud recordings, Microsoft Teams recordings, Google Meet recordings (from Drive), Loom, Riverside, StreamYard, OBS captures, Cisco Webex, GoToMeeting, and any screen recorder. If you can save it as a video file, InstaGuide can process it.
No — it's optional. If you upload the .vtt or .srt file that Zoom / Teams / Meet exported alongside the recording, speaker attribution becomes ground truth (real names in the Participants block) and processing runs faster and cheaper. Without a transcript, InstaGuide transcribes from the audio track directly — speakers may be labeled generically (Speaker 1, Speaker 2).
A typical one-hour recording takes 10–20 minutes to fully process. You can close the tab and come back — the imports page shows real-time progress, and you'll see the finished guide as soon as it's ready.
Yes. Check the “Review segments before creating guide” box during upload. InstaGuide analyzes the meeting, identifies distinct topics, and pauses. You can then pick which topics to keep, combine several into one guide, or split each topic into its own separate guide — perfect for onboarding sessions that cover four different workflows in one call.
Everything a normal InstaGuide has (steps, screenshots, click indicators, workflow flowchart, annotations) plus two meeting-specific blocks: Meeting Highlights (a summary of key facts, decisions, and outcomes from the recording) and Participants (who spoke and their role, grounded in the transcript when supplied). Both render inline in the guide, in PDF/HTML exports, and in the embed view.
Only during processing. Once your guide is generated, the source video is deleted from our cloud storage. Anything a failed processing run left behind is automatically purged within a few days. Your uploaded videos never become permanent InstaGuide storage — the guide is the deliverable, the video is ephemeral input.
Pro ($29/mo — 10 uploads/month), Business ($39 per user/mo — 10 uploads per user per month, pooled across the org), and Enterprise (subject to a fair-use monthly cap that scales with license count; contact your account manager for higher limits). Free and Starter don't include it. New personal signups get a 15-day Pro trial automatically, so you can try Meeting Mode without paying.
Loom and Guidde produce video output — you watch someone else click. InstaGuide produces structured, searchable, editable step-by-step documentation. Videos go stale the moment a UI changes; text-and-screenshot guides can be updated step by step. Meeting Mode is the bridge: it accepts a video as INPUT so you don't have to click through your own demo again, but the OUTPUT is a real document your team can search, embed, edit, and export.
No — Meeting Mode is generally available and included on Pro and higher today. Live capture requires the InstaGuide Chrome extension (free to install from the Chrome Web Store). The import path is built into the web dashboard.
